The Impact you will have in this role:
The Onboarding Analyst is responsible for coordinating end-to-end preboarding and onboarding activities for employees and contingent workers in a highly regulated environment. This role serves as a central point of coordination across candidates, hiring managers, HR Operations, Talent Acquisition, IT, Security, Procurement, and Compliance to deliver a seamless, compliant, and operationally ready onboarding experience.
The analyst will initiate and coordinate onboarding activities, monitor case status, manage communications, and support readiness activities from preboarding through Day 1. This role ensures onboarding requirements, access gating controls, employment eligibility requirements, documentation, training, and system access activities are completed in accordance with company policies, regional requirements, and operational standards.
This position provides regional and time zone-aligned support for employees and contingent workers while helping maintain compliance, onboarding efficiency, and audit readiness.
Key Responsibilities
- Coordinate end-to-end preboarding and onboarding activities for employees and contingent workers using First Advantage and related HCM systems, ensuring adherence to company policy, governance standards, and regional requirements.
- Initiate onboarding workflows and monitor cases to ensure timely completion of required activities.
- Track onboarding progress and proactively manage follow-up activities, escalations, and outstanding requirements.
- Serve as the primary point of contact for candidates, contingent workers, hiring managers, and cross-functional onboarding partners.
- Provide regional and time zone-aligned onboarding support across multiple worker populations and business units.
- Support onboarding access gating controls to help ensure required activities are completed prior to worker activation or access provisioning.
- Coordinate identity verification activities through onboarding and Day 1 processes.
- Support employment eligibility or right-to-work verification requirements where applicable.
- Ensure required onboarding documents, agreements, attestations, and acknowledgements are completed accurately and on time.
- Monitor onboarding workflows for potential risks, security concerns, or exceptions and escalate appropriately.
- Coordinate compliance training assignments, completion tracking, and follow-up activities.
- Partner with HR Operations, Talent Acquisition, Procurement, Compliance, Security, and hiring managers to resolve onboarding issues and delays.
- Ensure onboarding records and documentation are maintained in accordance with company standards and audit requirements.
- Identify process improvement opportunities to enhance onboarding efficiency, compliance, and candidate experience.
Qualifications
- Bachelor’s degree in Human Resources, Business Administration, or a related field.
- 3+ years of experience supporting onboarding operations, HR operations, workforce administration, or related operational functions.
- Experience working in a regulated or compliance-driven environment preferred.
- Experience coordinating onboarding or workforce administration activities for employees and/or contingent workers.
- Strong organization and coordination skills with the ability to manage multiple onboarding cases simultaneously.
- Strong attention to detail and the ability to manage sensitive and confidential information.
- Strong communication and customer service skills with the ability to partner effectively across multiple teams and stakeholders.
- Ability to manage multiple priorities in a high-volume operational environment.
- Experience with HRIS and onboarding technologies, including Fieldglass and Oracle, preferred.

- Achievement of onboarding readiness and service level targets.
- Effective coordination and communication with candidates, hiring managers, and cross-functional partners.
- Accurate completion and tracking of onboarding documentation, employment eligibility requirements, and compliance activities.
- Adherence to onboarding governance standards, access gating controls, and audit requirements.
- Successful coordination of Day 1 readiness activities, including system access, credentials, equipment, and training completion.
- Reduction in onboarding delays, escalations, and operational exceptions.
- Positive onboarding experience feedback from candidates, workers, hiring managers, and stakeholders.
