Senior Executive Assistant

About the Role You will increase the CEO's effectiveness by owning scheduling, travel, inbox triage, and executive logistics end-to-end. You will coordinate complex multi-timezone meetings with clear agendas and buffers, manage travel including last-minute changes, and run meeting logistics and follow-up. You will design and ship AI-powered workflows to eliminate repetitive tasks, draft concise high-context communications for review, and make low-impact decisions independently while escalating high-stakes issues. Occasionally you will provide in-person office support in Paris and continuously refine playbooks to keep executive operations scalable and smooth.

Requirements 5+ years supporting executives in fast-paced high-growth startups Hands-on AI and automation experience with Claude, ChatGPT, AI agents, or automation tools Strong ownership of complex calendars across time zones End-to-end travel planning experience and comfort with last-minute changes Concise, high-context written communication High judgment and autonomy on reversible decisions with clear escalation instincts Fluent with Google Workspace, Slack, Telegram, Notion Crypto or fintech exposure or strong curiosity Fluent in English and French Humble

Responsibilities Own the CEO's calendar end-to-end using decision rules and prioritization Coordinate complex multi-timezone meetings with agendas, links, locations, and buffers Manage travel end-to-end including last-minute changes and risk mitigation Triage inbox and communications by filtering threads and drafting concise replies for review Run meeting logistics and executive check-ins and ensure next steps are captured and followed Design and ship AI-powered workflows using Claude, AI agents, and automation tools Create scalable playbooks and procedures for recurring executive operations processes Provide occasional in-person office management support Make reversible low-impact decisions independently and escalate high-stakes topics
