Soft Skills
— Strong organizational and planning skills with the ability to manage multiple projects and priorities simultaneously.
— High level of attention to detail and ability to maintain accuracy when working with large volumes of information, project documentation, timelines, and reporting.
— Experience working in cross-functional environments and coordinating stakeholders from different teams.
— Strong communication and stakeholder management skills.
— Proactive approach to problem-solving and ability to identify risks, dependencies, and blockers early.
Tools & Technical Skills
— Hands-on experience with project management tools such as Jira and Confluence.
— Strong proficiency in Microsoft Excel and/or Google Sheets, including data organization, reporting, filtering, formulas, and analysis.
— Experience using task tracking, planning, and collaboration tools.
— Ability to create and maintain project documentation, timelines, roadmaps, status reports, and meeting notes.
— Experience working with dashboards, reporting tools, and performance tracking is a plus.
— Comfortable working with multiple systems and adapting to new tools and processes quickly.
— Coordinate and manage marketing initiatives involving multiple teams and stakeholders.
— Manage the flow of incoming and outgoing requests within the Marketing Department, ensuring transparency, prioritization, and efficient execution.
— Participate in the planning and scoping of new initiatives, helping define objectives, timelines, dependencies, and implementation plans.
— Break down projects into actionable tasks and coordinate execution based on priorities, deadlines, team capacity, and cross-functional dependencies.
— Monitor project progress, proactively identify risks, blockers, and deviations from plans, and ensure timely delivery.
— Facilitate effective communication between marketing specialists, cross-functional teams, and business stakeholders.
— Organize and facilitate meetings, document decisions, prepare meeting notes, and follow up on action items.
— Maintain project documentation, reporting, and workflows in Jira, Confluence, and other project management tools.
— Support resource planning across teams, helping align priorities and resolve workload and resource conflicts.
— Contribute to the continuous improvement of task management, request intake, and internal communication processes within the department.
— Support departmental financial operations, including payment requests, invoice processing, and preparation of materials for project financial approvals.
— Administer team workspaces and employee access management, including onboarding and offboarding processes.
— Collect, consolidate, and maintain operational and performance reporting for the Marketing Department.
— Support the development and maintenance of the department’s request management process and intake systems.
— Provide operational support to the department and contribute to the efficiency and effectiveness of internal processes.
— Experience supporting marketing, content, or creative teams.
— Understanding of marketing workflows, campaign execution processes, and cross-functional project delivery.
— Experience working in fast-paced environments with multiple concurrent initiatives.
— Basic understanding of analytics and performance metrics.
